So you’ve decided to implement a Voice over Internet Protocol (VoIP) system into your business. This is a big step, that requires research and planning. VoIP is a popular communication choice among businesses. Research suggests more than 650 million people will subscribe to some type of VoIP system by 2020. With so many VoIP systems on the market, we’ve compiled a list of important questions to ask before implementing a business VoIP system into your company.

Can your internet handle it?

Contact your Internet Service Provider to see if this VoIP service will affect the overall speed of your connection. A reliable Internet connection is required or the VoIP service won’t be effective. Also, ask the VoIP provider about the amount of bandwidth needed for the initial service installation and additional bandwidth for surges in call traffic.

How many employees will use VoIP?

Choosing a VoIP product that can handle the number of employees you have, is imperative. Make a list of the employees who will use the service and what platforms they are currently using in work functions. Then, multiply the number of employees by 20 percent and only investigate solutions that can easily handle that number. When making purchases, businesses often forget to consider their growth potential. So, it’s smart to build in a percentage of future users. This ensures that your business communication will be prepared for growth.

What services do you need?

VoIP systems offer many additional services a plain old telephone system doesn’t. Think about all the services your business currently uses. Go back to your list of employees and the applications they use in everyday work functions. Every VoIP service provider is different and you won’t find one that meets all of your needs. However, do you need a certain type of phone, HD video conferencing, Auto Attendant, or online faxing capability? Prioritize your list and compare with VoIP systems available. Make sure the services essential to your business come standard from the VoIP provider, who may charge extra for specific services.

How easy is integration?

Your business uses more than phones to communicate. From instant messaging to email, your employees communicate with each other and your customers through a variety of channels. Having them integrated gives your business an added layer of professionalism, cuts costs, and increases employee productivity. Ask your VoIP service provider how every method will integrate with the rest of your communication system.

Is it affordable?

There are different costs to consider before implementing a VoIP system. The expense to your business will be more than just a monthly subscription fee. Additional fees include an initial setup fee, software upgrades, and maintenance fees. Locking down a budget in advance will help you calculate what your business can afford. Research the Total Cost of Ownership (TCO) for each prospective service to determine if VoIP implementation is possible.

Ask yourself these question to ensure you are making the right choice when it comes to a business communication system. Does your current internet provider supply the bandwidth required for the VoIP system now and during your company’s growth? Is it affordable and include all the services your employees need for success?
